FUNCTIONS OF THE VARIOUS DEPARTMENTS IN THE DIRECTORATE

As a service unit, the Directorate carries out all its statutory duties through the various Departments.

1. POLITICAL DEPARTMENT:

  1. Responsible for the coverage of the official engagements, and courtesy calls on the Executive Governor and initiating follow-up actions on Policy pronouncements/directives arising there from

  2. Represents the State Government in the recruitment boards of the Armed Forces, the Police, Prisons and Immigration; and

  3. Liaison with the Army, Airforce and Navy on matters relating to admission into their Secondary and Tertiary Institutions.

2. CABINET DEPARTMENT:

The Department is the Official Secretariat of the State Executive Council which is the highest Policy making body of the State. The Secretariat is responsible for among other duties;

  • Taking of minutes and notes at Exco Meetings;
  • Production of Exco Conclusions and Extracts;
  • Circulation of Exco Conclusions to Commissioners and other relevant Members;
  • Receipt of Memoranda and Briefs from Ministries, Departments and Agencies for circulation to Members of the State Executive Council;
  • Ensuring the implementation of Council’s decisions/directives through the issuance of Exco Extracts to Commissioners;
  • Retrieval and custody of Council’s documents upon the dissolution of Council;
  • Liaison with Commissioners as it relates to Exco Matters; and
  • Maintenance of Exco Chambers.

3. ARCHIVES AND RECORDS DEPARTMENT:

The functions of the Department include:

  • Locating, assemblage, rationalization and classification of documentary source materials of the State for purpose of permanent preservation and research;
  • Advising Departments and Ministries on systematic method of disposition of non-current records and the transfer of valuable records to the State Archives;
  • Advising Government Departments on good records management procedures and records keeping culture in the operations of Government business;
  • Establishment of facilities for records management practices and provision of archives equipment for the preservation of records adjudged worthy of permanent preservation;
  • Provision of programme for security microfilming of all archives relevant to the continuity of activities of Government and improvement of the cultural heritage of the people;
  • Participate at both national and international activities necessary for improvement of professional and technical functions of archives in Edo State.

SPECIAL SERVICES DEPARTMENT:

The functions of the Department include:

  • Coverage of State Security Council Meetings;
  • Preparation of State monthly Intelligence Reports;
  • Providing regular Security orientation seminars in collaboration with the appropriate security Agencies;
  • Vetting requirements relating to traveling documents e.g International Passport and certification of letter of State and Local Government Area of origin;
  • Handling applications from other Nationals wishing for Nigerian Citizenship;
  • Attendance of regular quarterly meetings of Federal and state security Administrations;
  • Attending to correspondence relating to Security Matters.

 

FINANCE AND ACCOUNT DEPARTMENT:

The functions of the Department include:

  • Monthly preparation of payment of staff salaries in the  Directorate.
  • Sorting for funds from the office of the Account- General and   disbursement of funds according to the  approvals to the various officers.
  • Annual preparation of appropriate account to the office of the Auditor General (State), if any.
  •  Responds to audit queries from office of the Auditors General of the State, if any.
  • Ensure Accounting records are kept properly.
  • Annual preparation of budget for the Directorate.
